This document details our practice terms and conditions. By registering your pet(s) with Happy Tails Vets you agree that you have read and understand these terms and conditions and agree to be bound by them. If you have any questions regarding our terms and conditions please ask a member of the team.

Vaccination reminders

We endeavour to send you vaccination reminders when they are due, however the responsibility to keep them up to date lies with you, so please keep a record personally for when these are due.

Pet insurance

Happy Tails Vets strongly supports pet insurance to aid costs of unexpected illness and accidents.

If you have any questions regarding insurance please ask a member of the team, however it is your responsibility to decide on the insurance provider you insure your pet with and your required level of cover.

If at any point an insurer refuses payment for a claim you will still be liable for all costs incurred. Insurance is a private agreement between you and your insurance provider.

Waiting room etiquette

When on premises (unless hospitalised and temporarily in our care) owners are responsible for the safety of their pets. As a practice we recommend keeping your cat inside their pet carrier until you are inside the consultation room with the vet. We also recommend that dogs are kept on short leads. If you have any concerns or if your pet is aggressive please speak to practice staff ahead of your appointment.

We will not tolerate any abusive or aggressive behaviour towards our staff at Happy Tails Vets at any time. Any person displaying any of these behaviours will be asked to leave the premises immediately and may be banned from the practice. Emergency Out of Hours

In order to provide 24/7 cover and to ensure our staff have adequate rest periods we have partnered with VetsNow in Eastbourne to provide out of hours cover. At times we may cover our own out of hours service during longer holidays such as Christmas, Easter and over bank holiday weekends. Vets Now cover us when we close in the evenings and over the weekend. If calling when the practice is closed your call will be transferred to VetsNow, who can offer advice over the phone, arrange an online video appointment or an appointment at their clinic in Eastbourne (address below).

Please note that an out of hours emergency appointment can be more expensive than an appointment during the daytime/weekdays. When calling VetsNow they will discuss their charges with you.

Estimates

If we provide you with a written estimate for the cost of a procedure or treatment please note that this is an estimate. Estimates may also be given verbally at the time of booking an appointment. The price of an estimate could change due to unforeseen circumstances. Any deviations from proposed/planned treatment can result in the actual/final price being different to what was estimated. We always thrive to give you the most accurate estimate.

Fees

All charges are subject to VAT. A detailed invoice will be provided at the time of payment being requested.

Payment methods

Accounts must be settled at the end of the consultation, prior to collection of medications/diets, or prior to a procedure (the same day). We accept payments in practice by cash, debit and credit card.

Overdue unsettled accounts can give rise to additional late payment administration and interest charges being imposed in accordance with the Late Payment of Commercial Debts (Interest) Act 1998. Overdue accounts can also result in us not being able to deliver further treatment/potentially being banned from the practice.

Inability to pay

If you are unable to settle your account with us this should be discussed with a member of staff prior to treatment being performed.

Home visits

In an emergency we recommend for your pet to be brought into the surgery where facilities and drugs are readily available. It may not always be possible to carry out a home visit. If a home visit is arranged, an estimate will be provided. Payment should be made before any home visit is carried out unless agreed otherwise.

Prescriptions

Written prescriptions are available from this practice. Please ask a member of staff for more information on written prescriptions and fees. You may obtain prescription only medicines (POM-V) from your veterinary surgeon. If required you can request a written prescription to get medication online, from another veterinary practice or pharmacy.

Written prescriptions may not be advised if your pet is in urgent need of medication due to certain conditions or if they are an inpatient and require the medication urgently.

We require 48 hours’ notice for repeat prescriptions.

In accordance with the Medicines Act we will always endeavour to use veterinary licenced products. Failing this we may use veterinary products for a different species, or possibly human (unlicensed) medication. If applicable your veterinary surgeon will discuss this with you and may ask you to sign an off-licence medication form if required. If you have any concerns regarding this you can discuss it with the veterinary surgeon who will be dispensing the medication.

Please note, we cannot accept the return of any prescription drugs as they cannot be resold. We can dispose of medication safely if you return it to the practice.

Client records

It is the client’s responsibility to ensure that we are provided with the most recent contact details at all times.

All records will remain the property of Happy Tails Vets Ltd. On your request we can provide copies of clinical records to another veterinary surgeon if moving surgery/referring.
